How to maintain a history of change log that reflects each review of the investment data management and access plan

Part of the planning for the investment should be to discuss how you plan to review your data management and access plan to ensure it’s always up to date and relevant. Reviews can be scheduled, or triggered by another action.

 

Pre-approval review

 

  • When? After completing the Direction Setting section of the data management and access plan
  • What? It is recommended that the Direction Setting section of the DMAP be shared with your FAIR advisor (email:fair@cabi.org) to update them and get feedback if needed.
  • Why? Validates grantee’s data management plan to align with FAIR data ambitions.
  • Outcome: Grantee gains clarity as to what is expected of them. Program Officers gain confidence in project readiness.
  • Benefit: Supports informed funding decisions and due diligence.

In-vivo review

 

  • When? Ad hoc, decided by the grantee. Recommended at least once a year, or at payment milestones.
  • What? Grantee reviews the data management and access plan with an independent FAIR advisor (email:fair@cabi.org) to validate the current content
  • Why? Ensures the DMAP remains dynamic as per the evolving program and remains goal-focused.
  • Outcome: Realignment of targets based on evolving situation. Regular updates of project status reported as part of program narrative
  • Benefit: Keeps data plans adaptable and tracks progress at milestones.

Root cause analysis review

 

  • When? As a result of a FAIR data assessment which may have produced unexpected results.
  • What? Review data management and access plan questions associated with themes with lows scores to validate whether the content has been implemented.
  • Why? Addresses issues when low FAIR scores are detected.
  • Outcome Identifies problems and updates the DMAP with corrective steps.
  • Benefit Drives improvements for better FAIR data outcomes.

Review logs are a way of keeping track of any changes that have happened to the document. They are represented as tables and appear throughout the document requiring differing levels of detail.

Activity G1

 

  • How to complete the Getting Started section.
  • This section takes you through the process of answering a core set of questions to provide a basic description of the data management practices that the investment will adopt.
  • Your PO will either grant approval for investment, or request more information. In both situations, proceed to Activity G2

Activity G2

 

  • How to assess FAIR potential
  • Using the output from the FAIR potential tool will provide data and recommendations for goals which feeds into the “Direction Setting” section of the DMAP

  • How to complete the Direction Setting section
  • This section takes you through the process of setting goals and recording an overarching direction to increase the FAIR maturity of the investment
  • If your investment has not been approved, send the completed Direction Setting section within the DMAP to the PO for approval.
  • If your investment has been approved, we recommend sharing the DMAP with your FAIR advisor (email:fair@cabi.org) to update them and get feedback if needed.
  • If no edits are needed, go to Activity G5
  • If you have been asked to make edits, proceed to Activity G4

FAIR data assessment workflow

Activity D1

 

  • After a data assessment request or on a planned data assessment activity, determine and locate the datasets that are within scope.

Activity D2

 

  • How to monitor FAIR data assets
  • Instructions on how to use the assessment tool with an investment’s data assets to produce a FAIR score with advice on how to improve.

Activity D3

 

  • Review the reports of the data assessments. If action is required proceed to Activity D4
  • If no action is required, proceed to Activity D5

Activity D4

 

  • How to document changes after review (review type – Root cause analysis)
  • Where FAIR assessment scores may be lower than expected, conduct a root cause analysis by checking to see if statements in the Implementation section of the DMAP have been implemented.  Then proceed to Activity D5.
